Submission Preparation Checklist

As part of the submission process, authors are required to check off their submission's compliance with all of the following items, and submissions may be returned to authors that do not adhere to these guidelines.
  • The submission has not been previously published, and has not been submitted simultaneously to another journal (or an explanation has been provided in Comments to the Editor).
  • The submission file is as PDF.
  • Where available, URLs for the references are provided.
  • The text uses the template; employs italics, rather than underlining (except with URL addresses); and all illustrations, figures, and tables are placed within the text at the appropriate points, rather than at the end.
  • The text adheres to the stylistic and bibliographic requirements outlined in the Author Guidelines. Authors are not bound to use the JeDEM template when submitting a paper the first time. If accepted the author has to format the paper using the layout template.
  • If you want to submit to a peer-reviewed section, a double-blind review is necessary: the authors of the document have deleted their names from the text and "Author" and year are used in the references and footnotes instead of the authors' name, article title, etc..
  • You have uploaded a letter to the editor with the submission. The cover letter should contain the items specified under the submission guidelines section.

Author Guidelines

We recommend that authors review the About the Journal page first.

1. Registration

Authors need to register with the journal prior to submitting, or if already registered can simply log in and begin the 5 step process.
During registration authors will be asked to fill out a form giving details on their name, affiliation, address, email, phone, discipline and a short bio statement. This data is used for internal communication and enables authors to foster their personal presence on the web (e.g. the bio statement and affiliation will be available with every article they will publish with JeDEM). Authors can administrate or update their profile at any time.

2. Submission

2.1 Authors start with choosing the section they want to submit their paper to; check the submissions checklist and agree to the terms of the Copyright notice. Make sure that you also prepared a cover letter to the editors (for details see below).

2.2 The author's data is automatically imported from the registration database. If a submission has multiple authors, additional authors’ data should be entered now. The author has to add title, metadata for indexing (academic discipline and sub-disciplines, keywords, methodology or approach, and language), and, if appropriate, supporting agencies. Authors can administrate or update the metadata (important for visibility on the web) during the review process until the article is published online. We recommend to continously update this data, in particular with the latest revision.

2.3 Authors upload the first draft of their paper. The submission must be anonymous and use the template for formating their contribution according to our formal guidelines. To ensure the anonymity of the file, the submission must be converted to pdf.  The template for Word can be DOWNLOADED HERE.

2.4 At the same time, authors are required to upload a cover letter to the editors with the submission. The cover letter should contain the following items:
-Arguments for why your submission fits well within the scope of JeDEM
-The title of your submission
-A confirmation that the manuscript has been submitted solely to this journal and is not published, in press, or submitted elsewhere. (Mentioning previous publications such as conference proceedings that the article may be based on is helpful as well.)
-If it concerns a revision, indicate the most critical changes you made to the manuscript
-Whether the research data underlying your study is openly available. If yes, where it can be found, or provide supplementary material. If no, explain why not.
-The names, affiliations and e-mail addresses of at least three potential reviewers. Please note that this is no guarantee that those reviewers might be used for your paper.
(If you are unsure about any of those items please contact the managing editors.)

2.5. Language: Articles submitted to JeDEM should checked for grammar and language proficiency. We recommend to have your article proofread if it is below the standard of academic English in your discipline.

3. Types of reviewing: double-blind peer review and editorial review

JeDEM offers double-blind peer and editorial review. Double-blind reviewing will be applied on submitted scientific papers. Project descriptions and reflections will be allocated to editorial reviews.

In order to ensure a blind peer-review, the authors of the manuscript have to delete their names from the text, with "Author" and year used in the references and footnotes, instead of the authors' name, article title, etc.

4. Accepted Submissions: Addressing Reviewer Comments

4.1. Submissions that have been accepted must address the reviewers' comments. The authors are expected to revise the manuscript according to the reviewers' comments and upload the revised file by the set deadline.  Any revisions should be clearly highlighted, for example by using the "Track Changes" function in Microsoft Word, so that they are easily visible to the editors and reviewers, or in a table.

4.2. Authors are also to provide a short cover letter detailing any changes, for the benefit of the editors and reviewers. All revisions made must cite the line number and exact change, so that the editor can check the changes expeditiously. Simple statements like ‘done’ or ‘revised as requested’ will not be accepted unless the change is simply a typographical error.
If the reviewers have suggested that the manuscript should undergo extensive English editing, please address this during revision. We suggest that the manuscript is checked by a native English speaking colleague or to use a professional English editing service.

5. Accepted Submissions: Authorship

The revised manuscript should include the author names and affiliations as indicated in the template. The corresponding author is responsible for ensuring that all authors are mentioned and that the details are correct as well as certify that all authors fulfill standards for authorship. Please also add every author to the metadata.

5. Template

The template gives clear directions on how to format the submission.
